Term Setup

Each term, the administrators will need to create a new center in PrairieTest (PT), then import the courses and exams.

CBTF Center Setup

To set up the CBTF center with its courses and exams, follow these instructions:

  1. Create a CBTF center in PT
    • CBTF, 202XW/SY, ICCS Lower Level, end date is end of term
  2. Download the Qualtrics form data submitted by course staff
    • Export as CSV, use choice text, click More Options and make sure nothing is checked, then download
  3. Run the script to convert the Qualtrics form data into data that can be imported into PT
    • python qualtrics_to_pt.py --input '<path to csv>' --term <term> --courses --exams
  4. Import the data into PT
    1. Open UBC institution, click courses tab, click actions, import courses from csv, select generated courses_institution
    2. Open new center, in courses tab, click actions, import courses to link from csv, select generated courses_center
    3. Open exams tab in new center, click actions, import exams from csv, select generated exams.csv
  5. Set up locations
    • Add the reduced distractions accommodation
      • Name: Reduced Distraction
      • Abbreviation: RD
      • Description: RD: Reduced Distraction (Requires an environment with limited visual and auditory distractions)
    • ICCS 014:
      • Computer Science Building, room 014
      • RD: 9,18,19,27,28,37,38,49
      • Regular: 1,2,3,4,5,6,7,8,10,11,12,13,14,15,16,17,20,21,22,23,24,25,26,29,30,31,32,33,34,35,36,39,40,41,42,43,44,45,46,47,48
    • ICCS 008:

    • Add proxy network block to both rooms.
  6. Set up center staff
    • Add admins as Owners
    • Add course admins (copy CWLs from intake survey and add @ubc.ca) as Proctor Editors
    • Add proctors as Proctor Editors
  7. Set up course staff
    • Go through each course, add admin as Owner
    • For courses with strict-scheduled exams, add all proctors as Editors

Orientation Sessions

Ask instructors of first year CS courses and courses from departments where CBTF use is uncommon if they are interested in orientation sessions. They just set up a very short (5min), not for marks exam and we run four 15 minute sessions per hour just for these exams. It gives students a chance to see how the CBTF works and new proctors a chance to get lots of practice in a low risk environment. These are also great proctor training sessions.
